Data Validation - Using Values From

Previous Records to expedite data entry

This lesson requires Registrations.fp7.

When entering a group of records that share the same information in a particular field, you can speed data entry if you set the Auto-Enter "Value From Last Visited Record" checkbox. As you add each new record, FileMaker Pro will then automatically enter a value into that field equal to the value of that field in the previous record. For example, if you enter new students for one advisor as a group and record the advisor name in the first record, Filemaker Pro can automatically enter the same advisor name into each subsequent record.

1. Using the Registrations.fp7 database, navigate to the last record in the database.

2. Select File -> Define -> Database and the Fields tab and create a date field named "Postmarked". Click the Options Button and select the Auto-Enter tab. Click the Value from last visited record checkbox and click OK and OK.

3. In Browse Mode, place your cursor in the new field of the last record and type today's date.

4. Now, select Records -> New Record. You should see today's date automatically entered in the new field.

5. Now change the value in the "Postmarked" field of the new record and select Records -> New Record again and you will see the new value displayed in the newest record you created. Using this option and sorting data entry documents accordingly makes data entry faster and more efficient.
