Filemaker Pro Lesson

Data Validation - Auto Entry Date Options

This lesson requires Registrations.fp7.

In an environment where there are a number of different data entry personnel and data entry points, it is quite useful to have a way to track who created a record and when or who modified a record and when. Filemaker Pro provides this capability with the Auto-Enter Date function.

1. Using the Registrations.fp7 file, select File -> Define -> Database and click on the Fields tab. Create a new date field and call it "Modified by".

2. Click the Options button and select the Auto-Enter tab. Check the Modification checkbox and select Name and click OK.

3. Create another new date field and call it "Modification Date". Click the Options button and select the Auto-Enter tab. Check the Modification checkbox and select "Date" and click OK.

4. Select View -> Browse Mode. Find the record for Lara Ritenour. Change the first name to Laura. Look at the "Modified by" field and you will see a name entered there. Select Edit -> Preferences and on the General tab see that the name entered in the "Modified by" field is the name defined as the registered Filemaker user.
